Wedding Planning Checklist for Bengaluru Families - Month by Month

A month-by-month wedding planning checklist for Bengaluru families, from fixing the muhurtham and venue to catering, decor, guests and the big day.

HappyTime Book Team Published 6 November 20265 min read

A wedding in a Bengaluru family is rarely one event. There is the engagement, the haldi and mehendi, perhaps a sangeet, the muhurtham (the auspicious time fixed for the wedding ritual) and then the reception, each with its own guest list, menu and mood. Add relatives flying in, two families with their own traditions and a city where traffic can turn a short drive into a long one, and it is easy to feel lost.

This checklist breaks the work into months so that nothing important is left for the last week. If your wedding is less than a year away, do not worry. Start at the section that matches your timeline and quickly cover anything you have missed from the earlier ones.

Before you start - three decisions that shape everything

Every later choice depends on three things. Settle them first, together with both families.

  • The budget range. Agree on a comfortable total and who is contributing what. It is easier to plan with a range than with a single number.
  • The guest count for each function. The engagement may be family only, while the reception may include colleagues and friends. Rough numbers are enough for now.
  • The muhurtham date. Most families fix this with their priest or family astrologer. Keep one or two back-up dates in mind, because the date you want may not be free at your preferred venue.

Make one shared note or spreadsheet for the wedding and choose one point person from each family. When decisions live in one place, fewer things fall through the gaps.

9 to 12 months before

This is the time for the big bookings that are hardest to change later.

  • Finalise the muhurtham date and decide which functions you will hold.
  • Shortlist venues for each function, visit them and check date availability. Our guide on how to choose an event venue in Bengaluru has a checklist for site visits.
  • Book the main venue once the date is confirmed, and get the terms in writing.
  • Split the budget across venue, food, decor, clothes, photography and everything else.
  • Decide whether you want a planner to coordinate everything or whether the family will manage vendors directly.

6 to 8 months before

With the date and venue fixed, lock in the people who will make the day happen.

  • Choose your caterer and book a tasting. Decide the service style for each function, such as a banana leaf meal for the muhurtham lunch and a buffet for the reception.
  • Book the photographer and videographer. Ask to see full albums or films, not just highlights.
  • Meet decorators and agree on a theme and colour palette for each function.
  • Speak to your priest about the rituals, the items needed and the timings on the day.
  • Draft the full guest list and note who is coming from outside Bengaluru.
  • Block rooms for outstation guests close to the venue.

4 to 5 months before

Now plan the looks, the music and the entertainment.

  • Shop for outfits and jewellery, allowing time for alterations.
  • Book the makeup artist and mehendi artist, and do a makeup trial.
  • Plan the sangeet. Decide on performances, a choreographer if needed, and an anchor to keep the evening flowing. Our guide on how to book an anchor or emcee lists the questions to ask.
  • Book sound, lights, a DJ and, if you want one, a stage with an LED screen.
  • Design the invitations, both printed and digital.

2 to 3 months before

The details start to pile up here, so keep your shared note updated.

  • Send invitations and start tracking RSVPs.
  • Order return gifts and decide who will hand them out.
  • Plan guest transport between hotels and venues, especially for elderly relatives.
  • Give the caterer an updated headcount for each function and finalise the menus.
  • Make a full list of ritual items with your priest and assign someone to collect them.

The last month

This is the month to confirm, confirm and confirm again.

  1. Call every vendor and confirm the date, arrival time, location and a contact number in writing.
  2. Write a simple timeline for each function, from setup to clean-up, and share it with vendors and the family point people.
  3. List all pending payments with their due dates.
  4. Plan a guest registration or welcome desk so guests are greeted and guided.
  5. Prepare an emergency kit with safety pins, a sewing kit, basic medicines, phone chargers, snacks and water.
  6. Do a final fitting for all outfits.

The wedding week

Hand over the running of each function to a coordinator or a trusted relative. The couple and parents should be free to enjoy the rituals, not answering calls about where the flowers are.

  • Share final headcounts with the caterer.
  • Hold a rehearsal for the sangeet performances.
  • Keep payments ready for vendors who are paid on the day.
  • Sleep. It sounds obvious, but it is the first thing that goes.

After the wedding

Settle the last payments, return any rented items and thank your vendors. Leave honest feedback for the vendors you were happy with, collect the photos and videos, and send thank-you messages to guests who travelled to be with you.

Frequently asked questions

How early should we start planning a wedding in Bengaluru?

+

Many families start nine to twelve months before the muhurtham, because popular venues and vendors get booked early. Weddings can also be planned in a few months. In that case, lock the venue, caterer and photographer first, then work down this checklist.

Can HappyTime Book help with only some of our wedding functions?

+

Share your plan with the functions you need help with, whether that is just the sangeet and reception or the whole wedding. The quote you receive will be based on what you ask for.

How much does a wedding in Bengaluru cost?

+

It varies a lot. The main factors are the guest count, the number of functions, the venue, the menu and service style, decor, entertainment, and how many guests need stay and transport. The most reliable way to know is to get a quote based on your actual plan.

Do we have to pay anything to get a quote?

+

No. The quote is free and comes within 24 hours. You pay only if you accept it.
